Know the rules before they become surprises.
These answers summarize current Koa’s venue rules. Your signed agreement is the controlling document for your event.
Check availabilityWhat is the maximum venue occupancy?
The approved maximum occupancy for Koa’s Events is 100 persons. Package-included furniture may be lower than the venue maximum, so larger layouts can require added rentals or a custom quote.
When can setup begin?
Setup starts no earlier than 12:00 PM unless approved.
When does music need to end?
Music must be off by 10:00 PM. The current Event Day Checklist also sets a 75 dB sound limit.
What are the alcohol rules?
Only pre-approved bartenders; no self-serve bar; no shots after 8:00 PM.
Do we need event insurance?
Event insurance certificate due 60 days before the event. Vendors must be insured; vendor proof is due 30 days before the event.
Do vendors need insurance?
Yes. Vendors must be insured and current client documents require proof 30 days before the event.
What is the reservation deposit?
10% non-refundable deposit. The current payment schedule then calls for the second payment 90 days before the event and final payment 60 days before the event.
Is there a damage deposit?
$500 one-day / $1,000 weekend; due 30 days before event; refund within 14 days less deductions.
What is the cancellation policy?
Cancellation within 15 calendar days of signing receives a full refund; after that, payments are non-refundable.
Can we change our date?
One change may be requested at least eight months before the original event date; $500 single-day / $1,000 weekend change fee.
Can we use outside vendors?
Yes, subject to venue requirements. Vendors must meet insurance requirements and follow the approved event-day schedule and property rules.
What happens with cleanup?
Clients are responsible for guest conduct and for removing personal items and décor. Excess cleanup can be charged at $50/hour or per occurrence under the current agreement.
